Description

Administrative assistants will provide administrative support to ensure operational efficiency. Typically, administrative assistants handle phones and emails, set up meetings, distribute company correspondence, maintain files, track office inventory, order supplies when needed, and support managers in a variety of administrative duties. 

Administrative assistants are required to communicate effectively via phone, email, or in person and must have strong office skills, such as typing, filing, copying, etc.  Must have Strong knowledge of office management systems and procedures, exceptional time management skills, and good multitasking skills are also required. They must be competent in relevant computer software applications and deliver reports and letters in a timely manner and ensure the confidentiality of sensitive information. 

Requirements

  • Proven experience as an Administrative Assistant, or Office Admin Assistant
  • 5 CXC Subjects- Inclusive of Maths and English 
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Valid Driver's licence
  • Strong organizational skills with the ability to multi-task

Responsibilities

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute emails, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
