Description

To provide comprehensive administrative and operational support to the Dean, ensuring the smooth execution of academic programs, faculty management, and student affairs. The EA acts as the primary administrative liaison for the Faculty Executive Team.

Reports to: Dean of the College of Medicine / Dean of Academics

Requirements

  • Education: CXE/Bachelor’s Degree in Management, Education Administration, or a related field. A Master’s degree is a distinct advantage in a university setting.

  • Experience: 3–5 years of administrative experience, ideally within a Higher Education or Healthcare institution.

  • Local Knowledge: Familiarity with the Guyanese education system and medical landscape is highly preferred.

Key Competencies

  • Technical Proficiency: High level of skill in Microsoft Office and experience with University Management Systems (LMS/ERP).

  • Interpersonal Diplomacy: Ability to manage high-stress situations involving student concerns or faculty disputes with a calm, professional demeanor.

Responsibilities

Academic Governance Support:

  • Coordinate and act as Secretary for Faculty Board meetings, Curriculum Committee meetings, and Academic Appeals.

  • Maintain records of faculty appointments, tenure reviews, and performance evaluations.

    Accreditation & Compliance Liaison:

  • Assist the Dean in gathering data and preparing documentation for accreditation bodies (e.g., National Accreditation Council of Guyana, CAAM-HP).

  • Ensure all academic files and student records handled by the Dean’s office meet regulatory standards.

    Student & Faculty Interface:

  • Act as the first point of contact for students seeking the Dean's intervention on academic issues or grievances.

  • Manage the Dean’s communication with Adjunct Faculty and Clinical Preceptors at partner hospitals (e.g., GPHC).

    Clinical & Semester Coordination:

  • Maintain the annual academic calendar, tracking key dates for white coat ceremonies, clinical rotations, and final examinations.

  • Prepare briefing materials for the Dean regarding student rotation schedules and site visits.

    Office Management:

  • Proactively manage the Dean's calendar, prioritizing academic deadlines over routine administrative tasks.

  • Draft formal academic correspondence, including recommendation letters, dean’s lists, and disciplinary notices.
