Description

The Administrative Assistant is responsible for providing administrative support to ensure efficient office operations of the client's store locations.

Requirements

  • At least five (5) subjects CXC, inclusive of Grades 1 to 2 in Mathematics and English.

  • Certificate in retail, shipping or logistics would be an asset.

  • Competency in MS Office especially Microsoft Excel.

  • Must be able to work flexible hours.

  • At least 2 years of experience in similar position.

Responsibilities

Finance & Administrative Support:
• Coordinate payments with the Admin Assistant.
• Handle general administrative tasks as assigned.

Human Resources:
• Manage onboarding documentation, access credentials, and staff orientation.
• Develop, update, and ensure compliance with store policies and procedures.
• Monitor attendance, leave, probation periods, and performance evaluations.
• Conduct reference checks, schedule interviews, and manage recruitment postings.
• Organize staff events, training, and general meetings.
• Maintain personnel files and records.

Inventory Management:
• Oversee the offloading, verification, and distribution of overseas shipments.
• Prepare inventory records, match local orders with supplier invoices, and monitor pricing changes.
• Request product images and codes for marketing and social media updates.
• Manage shipment tracking, claims for damaged goods, and disposal processes.

Store Operations & Administrative Duties:
• Process and distribute gift vouchers.
• Handle online order confirmations and delivery arrangements.
• Track and procure necessary supplies for stores and office needs.
• Organize external storage, marketing materials, and website updates.
• Manage brand ambassador contracts, store issue reporting, and technical problem resolution.
