Maec Enterprises is seeking a detail-oriented, organized, and proactive Project Clerk to support our growing operations. In this role, you will handle day-to-day administrative tasks, manage crucial financial documentation, and assist with project procurement processes.
The ideal candidate is a self-starter with strong numerical and communication skills, capable of managing multiple administrative tasks smoothly in a professional office environment.
Academic Qualifications: Minimum of CSEC/CXC passes, with mandatory Grade 1 or 2 passes in Mathematics and English A.
Software Proficiency: experience working with QuickBooks and standard email clients (Gmail/Outlook). Strong proficiency in MS Office (especially Word and Excel) is required.
Experience: Prior experience as a project clerk or administrative assistant (preferably in construction, logistics, or engineering sectors) is highly assets.
Key Skills: High level of integrity, exceptional organizational skills, strong verbal and written communication, and the ability to work under tight deadlines.
Financial Documentation: Prepare accurate quotations and invoices for clients using QuickBooks.
Bidding & Procurement: Assist in compiling, organizing, and setting up formal bid and tender documents.
Communication Management: Manage the company’s email correspondence, responding to inquiries and routing messages appropriately.
Administrative Support: Maintain neat digital and physical filing systems, ensuring all project-related paperwork is up to date.
General Clerical Duties: Perform other administrative tasks as needed to support management and keep daily operations running smoothly.
Compliance Checks: Ensure all required statutory documents (e.g., NIS, GRA compliances, business registration) are valid and attached to bids.
Submission Management: Monitor tender deadlines and coordinate the timely, professional submission of all proposal documents.
Email Management: Manage the company’s primary email inbox, drafting professional responses, handling inquiries, and filtering urgent matters for management.
Client & Vendor Liaison: Act as a reliable point of contact for clients, subcontractors, and suppliers regarding orders, deliveries, and paperwork.
