Description

Provide efficient administrative and operational support through the accurate processing of claims, invoices, and departmental documentation, while ensuring effective stock control, accurate inventory movement, and compliance with company procedures to support business performance and operational excellence.

Requirements

  • At least five (5) CXC/GCE subjects, Grades 1-3; inclusive of Mathematics and English Language.

  • Previous work experience in a customer care/clerical capacity would be an asset

  • Knowledge of Technical Service Department operations and relevant product knowledge.

  • Strong customer service, communication, and telephone etiquette skills.

  • Computer literate with good numerical ability.

  • Able to work independently, manage pressure, and use initiative.

  • High level of integrity, professionalism, and strong work ethic.

  • Task-oriented, detail-focused, and a strong team player.

Responsibilities

• Capture and record all revenue related to warranty claims accurately and in a timely manner.

• Forward warranty claims information to relevant stakeholders promptly to ensure efficient processing.

• Maintain accurate and up-to-date supplier warranty claims records and documentation.

• Reconcile stock movement reports, transfer records, and requisition forms to ensure data accuracy and proper accountability.

• Input CIRS data on a daily basis in accordance with reporting requirements.

• Prepare customer invoices and follow up on aged receivables to support timely collections.

• Prepare supplier invoices for remittance and ensure proper documentation is maintained.

• Monitor customer accounts to ensure compliance with agreed payment arrangements.

• Draft and prepare correspondence for the Service Centre as required.

• Provide support to the Office Assistant, including preparation of reports, weekly attendance records, document distribution to branches, and filing of records.

• Perform any other reasonable and related duties as assigned by management from time to time.
