The Visa and Immigration Coordinator (VIC) is responsible for managing and overseeing the end to end processing of visa and immigration applications. This includes the preparation and formal submission of applications to relevant authorities, ensuring accuracy, regulatory compliance, and timely service delivery. The role requires effective coordination with clients, government agencies, and internal teams.

Associate degree or post-secondary qualification in Business Administration, Office Administration, or a related field
Minimum 2–3 years of experience in visa processing, immigration services, or a similar administrative/operations role
Experience in handling documentation, compliance processes, or working with government agencies

Experience using visa application portals or immigration systems
Familiarity with statutory registration and compliance processes
Experience in a client-facing role
Oversee and manage the full lifecycle of visa immigration applications, including document preparation, formal submission to relevant authorities and follow through completion
Review application forms and supporting documents for accuracy, completeness, and compliance
Ensure all applications meet country-specific and regulatory requirements prior to submission
Liaise with government agencies, embassies, and relevant authorities on behalf of clients
Monitor application progress and ensure timely follow-ups and resolution of issues
Provide guidance and support to clients regarding visa requirements and procedures
Maintain and update internal databases, tracking systems, and client records
Ensure proper document management, including scanning, filing, and record keeping (electronic and physical)
Supervise and support junior staff, ensuring adherence to SOPs and quality standards
Identify discrepancies or risks and escalate issues to management when necessary
Assist in preparing operational reports and tracking performance metrics
Ensure compliance with company policies, SOPs, and quality management systems
Attend client meetings, provide information and feedback as required
