Description

The general duties and responsibilities of the receptionist will typically involve managing the front desk, providing excellent customer service, ensuring efficient communication within the organization and provide administrative assistance to other departments when required.

Requirements

Minimum Qualification and Experience Requirements:

  • Associate or bachelor's degree in communications or business.

  • 2 + years’ experience working as a receptionist.

  • Organized and resourceful.

  • Operation Planning.

  • Customer-focused.

  • Active listener.

Knowledge, Skills and Attributes:

  • At least two years of training or experience in customer service and office work.

  • Advance Level Computer Proficiency (Outlook, Word, Excel, Power point and Google Applications).

  • Strong verbal and written communication skills.

  • Ability to work independently.

  • Basic knowledge of oil and gas industry standards and regulations.

Responsibilities

  • Greet people entering the building, answering any questions, providing directions and alerting staff when someone is there to meet or visit them.

  • Ensure that first-time visitors to the company complete their safety induction.

  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.

  • Manage the visitors log of who is entering and exiting the building.

  • Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup.

  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone.

  • Maintain the reception area, keeping it clean and free of clutter.

  • Assist new applicants who come into the building to apply for positions, including providing them with applications, pens and clipboards along with any reference material they may need.

  • Handle filing and data entry as requested.

  • Manage staff houses assigned to employees in Guyana.

  • Ensure that staff houses are cleaned before employees arrive to stay.

  • Co-ordinate with the local representative on Taxi Pick up for arriving employees.

  • Control the traffic to the main offices.

  • Provide administrative support to the Country Manager.

  • Provide administrative support to Finance and HR departments as needed.

  • Any other related duties to support the achievement of the company’s goals and objectives asked by their superior or management.
