Accounts Payable Officer

The Accounts Payable Officer is responsible for the efficient, effective and accurate processing of all FBX Inc payables and disbursements, ensuring appropriate authorization and accuracy in processing, and confidentiality, and ensuring the appropriate accounting transactions occur, and required monthly reconciliations performed.

• Must have knowledge and 3 years prior experience of general tasks routinely conducted in an accounting environment particularly accounts payable and disbursement systems and processes.

• Must be pursuing or possess Level 1 ACCA, or pursuing an undergraduate management/accounting equivalent.

• Proficiency in the use of Microsoft Office.

• Knowledge of an established ERP system is expected.

• Record, scan, and post invoices received in Pronto.

• Ensure the principles of a three-way match in the system are adhered to and that PRs, POs are appropriately authorized prior to the payment of invoices, and that POs are priced before being sent to suppliers.

• Prepare weekly proposed payments listing to be sent to CFO and CEO for approval.

• Process weekly payment runs in PSA Air and on the Scotia Online platform in accordance with approved procedures.

• Prepare cheque and cheque vouchers as required.

• Scan and upload documents to OneDrive and Pronto.

• Maintain daily cash and bank balances.

• Preparation of weekly cash flow reports & preparation of weekly aged AP reports.

• Ensure a hard close is implemented each month with all relevant invoices, credit notes, POs, GRN’s, and Services Received are posted within the Pronto system.

• Monthly reconciliation of the Creditors sub-ledger to the General Ledger, in conjunction with the Financial Administrator.

• Maintain an effective and professional level of communication with suppliers with respect to queries and other correspondence.

• Any other accounting-related duties reasonably expected of this position.
