Description

Seeking a suitably qualified individual to fill the position of Tenant Relations Assistant. The Tenant Relations Assistant will report directly to the Tenant Relations Manager and will support and assist with projects, sales strategies and campaigns to ensure tenants' satisfaction.

Requirements

  • A Diploma or equivalent in Business, Public Administration, Real Estate, or another related field is preferred.

  • Two years of experience in commercial property management, including showing space to potential tenants and working with vendors and contractors on building improvements, is preferred. Experience working in a municipal organization's real estate division is desirable.

  • Basic principles and practices of budget preparation and financial recordkeeping.

  • Excellent verbal and written communication skills.

  • Ability to identify, analyze, evaluate, and recommend solutions to a variety of problems.

  • Ability to work in a team and independently.

  • Proficient in Microsoft Office.

  • Excellent organization and time management skills.

Responsibilities

  • Receive and respond to requests, complaints, issues and inquiries from tenants and employees.

  • Review, update and maintain property and tenant license files, and assists with work processing as required.

  • Create, update, track, and closes work orders for all tenant services.

  • Follow-up on a monthly basis to track notices of changes in license terms, rent amounts, percentage rent changes, and general license agreement compliance.

  • Maintain awareness of tenant monthly fees including but not limited to; rent payments, common area maintenance charges, tracking of late payments, and charges of late fees and interest, and other fees and charges as outlined in the license agreement.

  • Perform regular site inspections to assess: maintenance needs, safety hazards, customer issues, landscape needs, curb appeal, signage, and other amenities.

  • Conduct tenant tours and property showing; and coordinate tenant move in-and-out.

  • Assist with license negotiation and the preparation and review of license documents, tenant requests, and special projects.

  • Prepare and participate in the update of licenses and marketing materials.

  • Compose online content for different platforms such as social media, website and press releases relating to tenants.

  • Perform a variety of administrative tasks in connection with the office operation, including preparing a variety of reports, correspondence, and agendas; assists with budget preparation and division work plan; files and maintains a recordkeeping system; and operates a variety of office equipment.

  • Prepare and distribute notices to tenants regarding a variety of issues, including fees and charges, work on and around the property and other general notices.

  • Perform related duties as assigned.
