The Junior Receptionist is the first point of contact for visitors, clients, and employees, providing excellent customer service while supporting day-to-day office operations. This role will act as a backfill for the senior receptionist but will also include managing training rooms and assisting with mailroom operations to ensure smooth internal communication and office functionality.
- High school diploma or equivalent; additional administrative or secretarial training is a plus.
- Strong interpersonal and communication skills.
- Basic computer skills (MS Office Suite, email, and internet).
- Organizational skills with attention to detail.
- Ability to handle multiple tasks efficiently and maintain professionalism.
- Previous experience in reception, mailroom, or administrative support is desirable but not mandatory.
• Visitor registration and verification of ID badges.
• Managing Communication
- Answer, screen and forward incoming calls, keeping a professional demeanor and efficiently handle all queries.
- Facilitate communication between various teams by directing calls or sharing information efficiently.
- Update telephone directories to reflect organizational changes.
• Meet and Greet Services (including VIP).
• Monitor and track HR Benefits Box
- Keep a digital record of when the box is picked up.
- Create a ClearID request for agent/(s) on Fridays (forthnightly).
• Providing helpdesk / information service.
• Meeting room management
- Prepare training rooms for internal and external sessions.
- Coordinate with the relevant personnel regarding room bookings and requirements.
- Maintain an organized inventory of training room furniture.
• Visitor Assistance
- Provide accurate information to visitors regarding directions, services, and staff whereabouts.
- Assistance and Escort: Assist or direct visitors to their destinations within the building, offering to escort them if required for security or convenience.
• Transportation Maintenance tracking
- Receive and issue keys for vehicles with specific maintenance needs.
- Keep logs of vehicles being services with dates and time vehicles were picked up and returned.
- Report any discrepancies with keys returned.
- Report all issues encountered by drivers.
• Mailroom Assistance (Backfill):
- Receive, sort, and distribute incoming mail and courier packages.
- Prepare and dispatch outgoing mail and packages in accordance with mailroom procedures.
- Maintain records of mailroom transactions and ensure timely delivery to internal departments.
• General Office Support:
• Maintain and restock office supplies in service centers.
• Check sensitive documents and report quantity for incineration.
