The Administrative & Operations Assistant provides high-level administrative, coordination, and organizational support across the business. This role functions similarly to a Personal Assistant but is not assigned to a single individual. Instead, the position supports company operations, management tasks, and daily administrative workflows, ensuring smooth communication, scheduling, and documentation across departments.
Diploma or certificate in Administration, Business Management, or a related field (preferred)
Previous experience in an administrative, PA, or office coordination role
Valid driver’s license (mandatory)
Own vehicle is an asset
Strong organizational and time-management skills
Excellent written and verbal communication skills
Proficient in Microsoft Office / Google Workspace
Ability to multitask, prioritize, and work independently
Reliable, professional, and detail-oriented
Coordinate schedules, meetings, and appointments for management and operations
Manage emails, phone calls, and internal communications
Prepare, organize, and maintain documents, reports, and records
Track tasks, follow up on action items, and ensure deadlines are met
Assist with procurement, quotations, and supplier coordination
Support HR-related administration (attendance, leave records, basic onboarding)
Assist with accounts-related administration (invoices, filing, documentation)
Maintain confidentiality and handle sensitive information professionally
Provide general administrative support as required across departments
