We are looking for a Procurement Clerk to join our dynamic team in the shipping and logistics industry. The successful candidate will be responsible for supporting the procurement process by handling administrative duties related to purchasing goods, equipment, and services that are vital to our operations. This role is crucial for maintaining precise inventory records, optimizing stock control, and ensuring effective communication with vendors, internal teams, and clients. It plays a key part in facilitating the smooth and timely delivery of essential supplies and logistics materials, contributing to the overall efficiency of shipping and logistics operations.
High school diploma or equivalent; associate or bachelor’s degree in supply chain management, or related field preferred.
Minimum 1 year of experience in procurement, purchasing, or supply chain management within the shipping, logistics, transportation or supermarket industry is highly advantageous.
Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines.
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with logistics and procurement software is a plus.
Solid understanding of logistics and supply chain processes, including inventory management and shipping documentation.
Experience handling cold storage, fresh fruits and vegetables, dry goods, and perishables would be an asset.
Good communication skills, with the ability to negotiate and build relationships with clients and vendors.
Strong analytical and problem-solving skills, with a proactive approach to resolving issues.
Ability to work independently and as part of a team in a fast-paced environment.
Valid driver's license & vehicle would be an asset.
Monitor and manage inventory levels to ensure accuracy and timely updates.
Input and maintain inventory data, including receipts, shipments, and stock adjustments.
Conduct regular audits to identify discrepancies and implement corrective actions.
Organize and store inventory efficiently for optimal space utilization and accessibility.
Process purchase orders (POs) for goods, equipment, and services, ensuring timely procurement and minimal disruption to operations.
Receive and inspect incoming and outgoing shipments, verifying quantities and quality.
Prepare and package orders for shipment, ensuring timely and accurate deliveries.
Coordinate with shipping and logistics teams to track orders and update relevant stakeholders.
Handle invoice reconciliation, ensuring that invoices match purchase orders and delivery receipts.
Support the implementation of procurement strategies to improve supply chain efficiency and reduce costs.
Coordinate with suppliers and freight forwarders to negotiate pricing, delivery timelines, and payment terms.
Liaise with vendors to track shipments, resolve discrepancies, and ensure on-time deliveries.
Communicate with clients regarding inventory availability, order status, and shipment updates.
Address customer inquiries and complaints professionally and efficiently.
Communicate and track logistics-related purchases, ensuring they comply with safety regulations and quality standards for transport and storage.
Maintain a clean, organized, and safe warehouse environment.
Follow all safety protocols and company guidelines.
Support internal teams with inventory-related tasks and reporting.
Work irregular hours, including nights, weekends, and holidays, as needed.
