The Administrative Assistant is responsible for coordinating administrative activities and secretarial work within the Division/Department. This role focuses on liaising with counterparts on administrative matters, managing comprehensive filing system and maintaining strict confidentiality on all information.
Education: Diploma in Management, Finance, Public Administration or related field
Experience: three (3) years’ experience administrative or one year in auditing environment
Proficiency in word processing and desk top publishing
Skills & Attributes: Attention to detail, strong communication, analytical skills and results-oriented
Ability to work under pressure to meet deadlines
Draft correspondence including but not limited to minutes of meetings, reports, internal and external communique
Schedule meetings, organize travel arrangements, manage deadlines, and prepare agenda packages for Board and Committee sessions.
Assist in the coordination and monitoring of the Internal Audit Department’s Annual Audit Plan and work schedules.
Assist the Internal Audit team with audit assignments, as required.
Organize the requisition for the supplies that are needed for the effective operation in the department and assist in compiling and monitoring the division’s budget and expenditure data.
Review and process overtime claims, subsistence allowances, and travel claim in accordance with approved policies and procedures.
