Description

The Project/Operations Coordinator will provide temporary full-time support for a specific project in Guyana. The role will assist with procurement, vendor coordination, administrative support, document review, immigration and work permit processes, crew change logistics, and local recruitment activities.

The position requires a highly organized, proactive, and reliable individual who can manage multiple operational tasks, liaise with vendors and stakeholders, support document control, and assist with the smooth execution of project activities. The successful candidate will work closely with the operations, recruitment, logistics, and administrative teams to ensure timely and efficient project delivery in line with company procedures and local requirements.

Requirements

  • Diploma, in Business Administration, Management, Human Resources, Logistics, Supply Chain, or a related field would be an asset.

  • Experience working in the energy, offshore, manpower, construction, logistics, or industrial services sector would be an advantage.

  • Experience assisting with work permits, visas, immigration documentation, or government submissions would be beneficial.

  • Strong organizational skills with the ability to manage multiple tasks and follow up consistently.

  • Good communication skills and the ability to liaise professionally with vendors, candidates, employees, and internal teams.

  • Proficient in Microsoft Office, especially Excel, Word, and Outlook.

  • Ability to maintain accurate trackers, records, and documentation.

  • Must be proactive, dependable, detail-oriented, and able to work under pressure.

  • Must be willing to travel locally, visit vendors, attend government offices, and complete project-related errands as required.

  • Must be based in Guyana and legally eligible to work in Guyana.

Responsibilities

  • Assist with sourcing goods and services required for project operations.

  • Liaise with vendors, suppliers, service providers, local contractors, logistics providers, hotels, drivers, travel agents, crew members, candidates, employees, government agencies, and internal teams.

  • Obtain quotations, compare pricing, and support procurement decision-making.

  • Coordinate vendor registration, vendor account setup, and collection of vendor documentation.

  • Follow up with vendors on deliveries, invoices, payments, and service completion.

  • Maintain accurate records of procurement activities, vendor files, project documents, recruitment records, logistics information, and compliance-related documentation.

  • Support day-to-day administrative and operational tasks required for the project.

  • Prepare, review, organize, file, and control operational documents.

  • Assist with data entry, tracking sheets, project records, reports, meeting coordination, and follow-up on pending action items.

  • Coordinate internal approvals, signatures, document submissions, and general office or field-based errands.

  • Assist with preparing, reviewing, submitting, and tracking documents for work permits, visas, and other immigration-related processes.

  • Review submitted documents for completeness, accuracy, and compliance with project requirements.

  • Assist with planning and coordinating crew changes, including flights, accommodation, transportation, meet-and-greet arrangements, and travel documentation.

  • Track crew travel schedules, arrival and departure details, logistics updates, and last-minute operational changes.

  • Assist with local recruitment activities for Guyanese candidates, including sourcing, screening, document collection, interview coordination, candidate communication, and onboarding preparation.

  • Maintain confidentiality when handling employee, candidate, vendor, and project information.

  • Support compliance with company procedures, client requirements, and applicable local regulations.

  • Escalate issues, delays, missing information, or urgent operational matters to the appropriate team members.
