You will act as the client's Base Administrator in Guyana and will offering general administrative support to the Base Manager, other base employees, as well as the regional project team.
Your day-to-day role is integral to the base and underpins the running of the contributes to to all areas of the business in varying degrees. This can be from in-country HR support, procurement, and supporting the central Finance team with in-country requirements.
Posses strong business administration skills
Previous experience in office and business management, customer relations would be preferential
Good written English
Good levels of IT literacy and database experience
Procurement:
Raise purchase orders in accordance with the budget
Establish appropriate commercial trading agreements or contracts with suppliers that best protect the client’s short and long-term business interests – Concise Vendor Form & direct contact with vendors
Manage the client's supplier performance through frequent review meetings, reviewing costs, cost reduction opportunities, rejected or faulty items, Health, Safety, and Environment initiative
Set up accurately all supplier's accounts ensuring business is supported with orders to suit supply relationship (blanket orders, draw down orders, spot orders)
Manage local procurement activities in accordance with Company procedures and financial authorities.
Ensuring that the client’s awareness of and support for ethical, culturally sensitive, and sustainable procurement practices is communicated to all suppliers and vendors
Finance:
Post all banking and credit card transactions
Reconcile local banks biweekly and monthly
Prepare Bank Control Accounts reconciliations
Do the monthly reconciliation of supplier statements and clear outstanding issues raised
Apply financial controls and procedures where required to maintain the financial integrity of the company
Ensure all invoices/ expenses have the appropriate level of authorization
Ensuring correct invoices/ expenses are processed into the correct database
Dealing and resolving all Internal and supplier queries related queries
Training new staff on submitting expenses and procurement policies
Administration:
Support the Response Manager in arranging meetings, conferences, and other Company events.
Provide general reception duties for the base as required, greeting and announcing visitors and contractor.
Maintain appropriate filing systems for base documentation
Human Resources:
Assist the regional People team with recruitment, work experience, and course placements
Assist the global L&D team by sourcing, booking, and coordinating local training as required
Assist with any local payroll queries as required
Assist the central Resourcing team by keeping the Resource Allocation Grid up to date
Travel:
Act as a Spill Travel Booker in the event of an incident
Coordinate passport renewals, resident permits / work permits, visas as required
Other:
