Description

The Physical Security Coordinator is responsible for ensuring the safety and security of company personnel, assets, and facilities. This role supports and coordinates all physical security operations, including investigations, access control, surveillance, vendor oversight, and emergency preparedness.

With the organization no longer utilizing third‑party investigative services, this position assumes expanded responsibility for internal case management, administrative coordination, and proactive risk mitigation across all company locations. The ideal candidate is detail‑oriented, discreet, and capable of managing both routine security operations and high‑risk incidents with professionalism and sound judgment.

Requirements

  • Associate’s or bachelor’s degree in criminal justice, Security Management, or a related field (preferred).

  • 2–4 years of experience in physical security, law enforcement, or corporate security operations.

  • Experience working with access control systems, CCTV platforms, and incident reporting tools

Working Conditions

  • Office‑based role with regular travel to company facilities and business units.

  • Occasional travel to the Parent Company or subsidiaries may be required.

  • May require travel by car or, on occasion, air.

  • Regular use of standard office equipment and security systems.

  • Role may involve standing, walking, lifting (up to 50 lbs.), and responding to frequent interruptions.

  • Ability to work under pressure, particularly during emergencies or investigations.

Responsibilities

  • Conduct preliminary investigations into security incidents such as theft, unauthorized access, and vandalism.

  • Review, analyze, and archive CCTV footage and access control logs to support investigations and compliance requirements.

  • Document incidents accurately and maintain detailed, confidential case files.

  • Coordinate sensitive investigations with Human Resources, Legal, and Management.

  • Escalate serious incidents to internal leadership or external authorities when required and ensure case closure.

  • Manage employee and visitor access control, including issuing, deactivating, auditing, and troubleshooting access credentials.

  • Maintain accurate access control records and permissions in alignment with onboarding and offboarding processes.

  • Monitor access anomalies and unauthorized entries and prepare reports as necessary.

  • Monitor live and recorded surveillance footage to detect suspicious activity.

  • Ensure CCTV and surveillance systems are fully operational through routine checks and coordinated maintenance.

  • Coordinate system upgrades, repairs, and equipment replacements with vendors and internal stakeholders.

  • Ensure surveillance coverage meets operational, regulatory, and legal standards.

  • Liaise with security service providers, contractors, and vendors to ensure effective coverage and support.

  • Schedule and confirm security coverage for events, shifts, and emergency situations.

  • Monitor vendor performance, report service issues, and support contract management and procurement activities.

  • Conduct physical security audits and facility inspections to identify vulnerabilities and recommend corrective actions.

  • Support the implementation of physical security controls such as locks, alarms, barriers, and monitoring systems.

  • Respond to and manage physical security breaches, emergencies, and safety incidents.

  • Assist in planning and executing security drills, training exercises, and emergency simulations.

  • Maintain daily logs of security activities and prepare regular and ad hoc reports on security trends, risks, and performance metrics.

  • Track inventory of security equipment and supplies and assist with budget planning and expense tracking.

  • Support compliance with internal policies and external regulations related to physical security.

  • Participate in emergency preparedness planning, evacuation procedures, and crisis management activities.

  • Maintain emergency contact lists and response protocols and support staff training on safety awareness.

  • Assist in drafting, reviewing, and updating physical security policies and standard operating procedures.

  • Promote adherence to security protocols and provide recommendations for policy enhancements based on incident learnings.

  • Provide security awareness training to employees and serve as a point of contact for security‑related queries.

  • Collaborate closely with HR, Facilities, IT, Legal, OSHE, and Operations teams on security matters.

  • Support company projects, events, facility expansions, or relocations by providing security input and risk assessments.
