Description

The Business Support Specialist will provide comprehensive administrative and operational support to ensure efficient day-to-day business functions. In this role, the individual will be responsible for managing schedules, coordinating communications, maintaining records, and supporting daily flight logistics workflows. The ideal candidate will be comfortable working in a fast-paced, dynamic environment, resourceful, detail-oriented, flexible, willing to learn and gain experience.

Work hours: Monday - Friday 8 am - 5 pm ( beyond 5 pm occasionally)

Occasionally on Saturdays.

Start date: Immediately

Requirements

  • High school graduate

  • 1–2 years of experience in business operations or a related administrative role.

  • Strong analytical and problem-solving skills.

  • Excellent communication (written and verbal) and interpersonal abilities.

  • Detail-oriented, proactive, and able to manage multiple priorities effectively.

  • Discretion and professionalism when handling sensitive or confidential information.

  • Proven experience in digital marketing, communications, or social media management.

  • Organized, collaborative, and self-driven.

  • Eagerness to learn and grow within a freight and logistics-focused organization.

  • Experience using QuickBooks (nice to have)

  • Computer literate; proficient in Microsoft Excel and Word

  • Ability to thrive in a fast-paced work environment

  • Experience with social media and marketing

Responsibilities

  • Assist with daily scheduling and coordination of shipments, pickups, and deliveries.

  • Serve as a liaison between customers and carriers to ensure timely communication and issue resolution.

  • Prepare and manage shipping documents such as bills of lading (BOL), invoices, packing lists, and customs paperwork.

  • Provide administrative support, including data entry, filing, order processing, and report generation.

  • Support with billing, freight charge verification, and vendor invoice processing.

  • Maintain accurate records of shipments.

  • Coordinate with warehouse staff to ensure product availability and shipping readiness.

  • Assist with customer inquiries, service requests, and issue escalation.

  • Serve as a liaison between customers and management

  • Assist with preparing flight documents

  • Assist with invoice processing, securing payments, and maintaining accurate financial records

  • Create compelling content—written, visual, and video—for web and social media.

  • Support the daily work process both in the office and externally as and when required

  • Flexible and capable of working late occasionally
