Administrative Assistant (3-Month Contract with possibility for extension) Embassy of Colombia in Georgetown, Guyana. The Embassy of Colombia in Georgetown is seeking a qualified and proactive individual for the position of Administrative Assistant under a three-month temporary contract.

Position Overview: The Administrative Assistant will support the daily operations of the Embassy by performing administrative, financial, and customer service tasks. The role requires fluency in both Spanish and English, proficiency in Microsoft Excel, and a basic understanding of accounting procedures. This position is ideal for candidates with a strong sense of organization, discretion, and a commitment to public service.

Requirements

Candidate Profile:

Degree or technical training in Administration, Accounting, International Relations, or a related field.

Fluent in Spanish and English, both spoken and written.

Strong proficiency in Microsoft Office Suite, especially Excel.

Basic knowledge of accounting and office administration.

Experience in customer service or reception roles.

Excellent writing, organizational, and interpersonal skills.

Responsible, discreet, punctual, and able to work independently

Responsibilities

Key Responsibilities:

  • Receive and manage phone calls, emails, and in-person inquiries in Spanish and English.

  • Draft, translate, and organize official documents, letters, and diplomatic notes.

  • Assist in scheduling appointments, organizing meetings, and coordinating embassy events.

  • Maintain and update databases, filing systems, contact lists, and digital records.

  • Prepare Excel spreadsheets for tracking expenses, petty cash, and basic inventory control.

  • Support basic accounting activities: reviewing invoices, managing petty cash, and filing receipts.

  • Liaise with suppliers and service providers to request quotations and support purchases.

  • Provide courteous and professional assistance to visitors and Colombian citizens.
