Documentation Specialist I

A Major International Operator is currently seeking a Documentation Specialist I.


·        Diploma in Information Management, Information Technology, Computer Science or related field, or equivalent experience

·        Experience in metadata management and use of Microsoft Office applications

·        Excellent organizational, planning and communication skills

·        Excellent interpersonal and customer service skills

·        Experience working with EDMS (e.g. SharePoint) and data analysis tools is an asset


·        Receive, catalogue, organize and process electronic and paper documentation – data quality check, register in Electronic Document Management System (EDMS) and issue to comply with information management procedures

·        Create/advise on taxonomy and metadata creation and maintenance

·        Support Operations team in day-to-day data management and reporting needs including searching, accessing, and using documents in the EDMS and controlled paper sets

·        Carry out user acceptance, proof-of-concept and related testing on global systems and applications, as well as testing of proposed changes to existing systems (typically IT led)

·        Provide system administration for tools utilized in the Information Management team, including liaison with IT on failure analysis and ticket management, providing access to users and management of libraries

·        Support audit, discovery, litigation and assessment activities

·        Provide guidance on information-related controls in areas such as Management and Protection of Information, Records Management Guidelines, Operations Integrity Management System, Controls Integrity Management System, copyright and corporate separateness

·        Participate in global user groups for applications and systems supporting Information Management

·        Provide technical support and hands-on training in the use of EDMS components as well as DocuSign, Microsoft Office and related tools

·        Support Information Management Team as required with Ad Hoc Requests and Projects
