Description

We are seeking a highly organized and proactive Receptionist/Office Manager to serve as the heartbeat of our dental practice. This dual-focus role requires a professional who can provide an excellent patient experience at the front desk while simultaneously managing the back-end business operations, specifically inventory procurement management.

The ideal candidate is someone who thrives on efficiency, understands the financial flow of an office, and can maintain a seamless bridge between clinical needs and administrative budgets.

Requirements

  • Experience: 1–3 years of experience in an administrative or coordinator role.

  • Technical Proficiency: Strong skills in Microsoft Office (Word, Excel, Outlook) or Google Workspace.

  • Organization: Superior time-management skills and the ability to handle competing priorities without losing focus.

  • Professionalism: High level of discretion when handling confidential information and a polished professional presence.

  • Communication: Professional verbal and written communication skills for interacting with both patients and high-level vendors.

Responsibilities

1. Practice Operations & Patient Management

  • Front-of-House Excellence: Greet patients, manage a multi-line phone system, and oversee the check-in/check-out process.

  • Strategic Scheduling: Optimize the provider schedules to meet daily production goals while minimizing gaps and late cancellations.

  • Financial Coordination: Verify insurance benefits, present treatment plans, and manage patient collections/accounts receivable.

2. Inventory Control & Purchasing (Critical Function)

  • Supply Chain Oversight: Maintain an accurate digital or manual inventory of all clinical and office supplies (PPE, composites, sterilization pouches, etc.).

  • Purchase Request Management: Generate and submit formal purchase requests for owner approval, ensuring all orders align with the monthly overhead budget.

  • Receipt & Audit: Reconcile all deliveries against purchase orders and packing slips to ensure accuracy and manage returns for damaged or incorrect items.

3. Team & Compliance Leadership

  • Compliance: Ensure the office remains in total compliance with HIPAA, OSHA, and state dental board regulations.

  • Reporting: Prepare weekly reports on practice vitals, including production, collections, and supply spending percentages.
