The Role is mainly support Director of Finance, HR and Admin.

I. Responsibilities for Assisting Finance Work
1. Daily Reimbursement and Document Audit: Responsible for the preliminary review of employee reimbursements for daily purchases, business trips, entertainment, etc., ensuring invoices are compliant and approval processes are complete, and assisting in payment registration.
2. Basic Bookkeeping: Assist in the entry, binding, and archiving of daily vouchers; responsible for reconciling bank statements.
3. Receipts, Checks, Invoices, and Tax Management: Responsible for issuing, safekeeping, and registering receipts, checks, and invoices; assist in preparation for monthly tax and social security declarations.
4. Cash and Archive Management: Assist in managing petty cash, registering cash and bank deposit journals; properly safeguard various financial contracts, vouchers, and report archives.
5. Data Assistance: Assist in organizing monthly/quarterly basic financial data to provide accurate data support for financial analysis.
II. Responsibilities for Assisting HR Work
1. Recruitment and Onboarding: Assist in publishing recruitment info, screening resumes, and arranging interviews and background checks; responsible for new hire onboarding procedures (visas, flight bookings, signing labor contracts, collecting onboarding materials, establishing employee files).
2. Attendance and Payroll Calculation: Monthly statistics of employee attendance, leave, and overtime; after ensuring accuracy, assist in calculating wages and declaring social security additions/deletions and base adjustments.
3. Employee Relations Maintenance: Handle employee regularization, transfers, resignation, and other change procedures; answer daily employee questions regarding HR policies; assist in organizing team building and other corporate culture activities.
4. Training and Performance Support: Assist in organizing new hire orientation and various internal trainings, managing sign-ins and records; assist in collecting and organizing performance appraisal forms from various departments.
III. Responsibilities for Assisting Administrative Work
1. Reception: Responsible for office visitor reception, phone transfers, and sending/receiving and registering courier/mail; maintain the cleanliness of the public office environment.
2. Office Asset Management: Responsible for the procurement, inventory, and distribution registration of office supplies, daily necessities, and labor protection supplies; manage the ledger and daily maintenance of company fixed assets (e.g., computers, printers).
3. Meeting and Activity Support: Assist in booking meetings and refreshments; responsible for the execution of administrative activities such as the company annual party and holiday benefit distribution.
4. Licenses and External Liaison: Assist in handling company business license annual inspections and seal usage registration; liaise with external suppliers such as property management, couriers, cleaning, and security; assist in handling visa and flight booking matters for employees, clients, and suppliers; handle company vehicle maintenance, license updates, daily fee payments, and repairs.
5. Documents and Policy Execution: Assist in drafting, formatting, and distributing daily administrative notices; supervise the implementation of various company administrative rules and regulations.
IV. Other General Affairs
1. Complete other temporary tasks assigned by superiors.
2. Accompany superiors to government offices and banks to handle relevant matters.
