The Accounts Receivable (AR) Officer is responsible for ensuring the accuracy, integrity, and timely reconciliation of the company’s sales ledger. The AR Officer will play a critical role in managing high-volume accounts, verifying data processed by the Sales department, and implementing rigorous controls.
• Education: A Diploma or Degree in Accounting, CAT, or currently pursuing ACCA (Level 1 or 2).
• Experience: Minimum of 1–2 years of experience in an Accounts Receivable or similar finance role.
• Technical Skills: Proficiency in SAP Business One is preferred. Advanced Excel skills (Pivot Tables, VLOOKUPs) are essential.
• Analytical Skills: Strong ability to conduct "Aging Analysis" and identify patterns in cash or inventory variances.
• Communication: Excellent verbal and written communication skills for professional debtor engagement and internal reporting.
Key Performance Indicators (KPIs)
• DSO (Days Sales Outstanding): Reduction in the average time taken to collect payments.
• Reconciliation Accuracy: Zero unresolved variances in the Cashing-Up or Suspense accounts at month-end.
• Ledger Integrity: Percentage of invoices accurately assigned to correct customer accounts vs. sales rep accounts.
• Reporting Timeliness: Consistent delivery of weekly aging and shortage reports.
1. Ledger Management & Accuracy
• Maintain the Accounts Receivable sub-ledger, ensuring all entries are accurately categorized under specific customer accounts rather than sales representatives.
• Verify and reconcile invoices and credit memos (for returns) processed by the Sales Department to ensure alignment with financial records.
• Manage the process of sales discounts credit memos, monitoring and following up on all invoices issued on credit.
2. Daily Reconciliations & Banking
• Perform daily processing of collected credit invoices, ensuring they are correctly set off against the outstanding A/R invoices.
• Reconcile the Suspense Account, "Cashing-Up" account, and "In-Transit PINs" daily to ensure all funds are accounted for and correctly reflected.
• Reconciliation of G/L accounts and Business Partner balances.
3. Financial Controls & Reporting
• Monitor and report on all advances or loans to be settled via salary, and document all shortages found during the cashing-up process.
• Provide detailed reports on outstanding receivables (aging analysis) to the Finance Manager and General Manager/Director on a timely basis.
• Execute "V-code" and "E-code" clearing account reconciliations to maintain clean sub ledgers.
4. Debtor & Relationship Management
• Maintain professional communication with debtors on a daily/weekly basis to facilitate prompt payments and resolve billing discrepancies.
• Collaborate with the Sales department to ensure return-related credit memos are supported by proper documentation before final ledger posting.
5. Compliance & Safety
• Comply with the company’s branding and dress code policies.
• Observe all safety procedures and practices while on duty, particularly during any required site visits or warehouse coordination.
