The Operations Support Agent provides administrative and operational support to ensure the efficient processing of applications, accurate record-keeping, and seamless coordination between front and back-office functions. The role supports visa and immigration processing, statutory registrations, and general business operations in accordance with company procedures, SOPs, and quality standards.
The Operations Support Agent supports visa application processing activities but does not independently submit applications unless expressly authorized by the Visa and Immigration Coordinator.
Minimum Qualification Requirements
Associate degree or post-secondary qualification in Business Administration, Office Administration, or a related field
Minimum 1 year of administrative, clerical, or operations experience (preferred)
Basic understanding of office procedures and document management

Strong attention to detail and accuracy
Good organizational and time-management skills
Ability to follow structured procedures and SOPs
Basic problem-solving skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Support the processing of visa and immigration applications, including document preparation and status tracking
Assist with statutory registrations and compliance requirements, including business registration, TIN, NIS, VAT, and licenses
Liaise with government agencies, as directed to facilitate applications and compliance processes
Maintain and update internal databases, tracking systems, and client records with a high level of accuracy
Assist with document verification, scanning, filing, and record-keeping (electronic and physical)
Monitor application status and follow up on outstanding or pending items
Prepare reports, spreadsheets, and other operational documents as required
Assist with payment tracking, receipts and basic financial record-keeping
Ensure all activities are performed in compliance with company SOPs and quality management standards
Provide general administrative and operational support to the team
Escalate issues, discrepancies or risks to the Visa and Immigration Coordinator in a timely manner
