Description

The Administrative Assistant is responsible for assisting in all marketing, inventory and administrative duties for the Urban Group of Companies at all locations.

Requirements

Job Requirements/Specifications

Education:

• At least five (5) subjects CXC, inclusive of Grades 1 to 2 in Mathematics and English.

• Certificate in similar field will be an asset.

• Competency in MS Office & databases ( Excel & Word mainly).

Experience: At least one (1) year experience in similar position.

• Attention to detail and Strong Problem-Solving Skills

• Ability to work independently and without constant supervision

• Time Management Skills and ability to prioritize work

• Strong Organizational skills with ability to multi-task

• Excellent knowledge of Excel Spreadsheets & word processing tools (MS Excel, Word)

• Basic Understanding of databases

• Working knowledge of office equipment, computer hardware & Peripheral devices

• Good Oral and Written Communication Skills

Responsibilities

Duties (include but not limited to):

Inventory:

1. Assist in organizing and overlook offloading of all shipments, organize necessary tools and porters as needed and ensure all boxes are accounted for in the shipment.

2. Prepare inventory check sheets accurately, print and issue to supervisors before any shipment arrives.

3. Prepare and issue inventory transfer sheets, coordinate and organize transfers, verify records to ensure accurately completed to update system.

4. Prepare stock count sheets, performing stock counts, investigate to resolve any discrepancies and submit records to administrative supervisor to make corrections in the system in a timely manner.

5. Filing of all relevant paperwork accurately.

6. Any other task assigned from time to time

Administrative:

1. Prepare and make cash/cheque payments for the group of companies.

2. Ensuring all utility bills are paid before due dates.

3. Requisition of items for the stores as needed, maintain accurate records for critical store items and top up at reorder levels. (Cashier bags, register & POS thermal rolls, return books, barcode labels, etc.)

4. Update and maintain accurate records of items kept in all storage locations.

5. Reporting on any store issues to mall management & following up to ensure issues were resolved.

6. Assisting in preparing, contact customers and arranging deliveries for wholesale and online orders.

7. Any other task assigned from time to time.

Marketing:

1. Assist in arranging all relevant marketing signage needed.

2. Assist in Social media queries

3. Assist in updating website products

4. Any other task assigned from time to time.
