The Payroll Clerk is responsible for processing employee payroll, maintaining accurate payroll records, and ensuring compliance with applicable labor laws and regulations. The ideal candidate will possess strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with confidentiality.
Education: High school diploma or equivalent required; Associate’s degree, CAT or equivalent in accounting, finance, or a related field preferred.
Experience: Minimum of [1-3] years of experience in payroll processing or accounting is preferred.

Proficiency with payroll software (e.g. QuickBooks) and Microsoft Office Suite (especially Excel).

Payroll Processing
Prepare and process bi-weekly or monthly payroll for all employees, ensuring accurate calculation of wages, taxes, deductions, and benefits.
Enter and maintain employee data, including new hires, terminations, salary adjustments, and changes in personal information.
Data Management
Review timecards and attendance records for accuracy and resolve discrepancies as necessary.
Ensure that all payroll data is entered into the payroll system accurately and in a timely manner.
Compliance and Reporting
Ensure compliance with all federal, state, and local payroll laws and regulations, including taxation and benefits reporting.
Prepare and submit payroll-related reports, including tax filings, earnings statements, and year-end reports (W-2s, 1099s).
Record Keeping
Maintain accurate and up-to-date payroll records, including hours worked, overtime, sick leave, and vacation balances.
Ensure confidentiality of payroll information and protect sensitive employee data.
Communication and Support
Interface with employees regarding payroll inquiries, including pay discrepancies, deductions, and tax-related questions.
Assist in the resolution of payroll-related issues and provide support during audits.
System Maintenance
Assist in the maintenance and updates of payroll software and systems to ensure efficiency and accuracy.
Recommend improvements or enhancements to payroll processes and systems when necessary.
