Description

The Receptionist/Dispatcher will be the first point of contact for our company. He/she will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and placing, receiving and redirecting phone calls. You will offer administrative support across our Company which include supervising the company’s administrative drivers, and ensuring that cheques, mails, and other packages are delivered internally and externally in the most efficient manner.

Requirements

  • Minimum five (5) subjects CXC inclusive of Mathematics and English Language.

  • Proven work experience as a Receptionist, Front Office Representative or similar role.

  • Proficiency in Microsoft Office Suite.

  • Hands-on experience with office equipment.

  • Excellent communication and interpersonal skills. 

  • Ability to communicate clearly and effectively (internal and external).

  • Supervisory skill

  • Knowledge of procurement procedures

  • Pleasant personality, professional appearance and customer service oriented. 

  • Ability to be resourceful and proactive when issues arise

  • Excellent organizational skills

  • Multitasking and time-management skills, with the ability to prioritize tasks.

Responsibilities

  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately. Direct visitors to the appropriate person and office (this involves, taking specific information from the visitor, and communication same to the intended personnel, prior).

  • Answering, screening and forwarding incoming phone.  Receive and communicate messages to the respective personnel.

  • Place telephone calls as directed and transfer to the respective personnel.

  • Provide basic and accurate information in-person and via phone/email.

  • Maintain office security by following safety procedures and controlling access via the reception desk.

  • Verify, document and file vehicle logs.

  • Supervise and dispatch admin drivers.

  • Collect, document, and ensure delivery of payments (cheques).

  • Collect and ensure cheque vouchers are delivered to the Accounts Department.

  • Receiving and sorting daily mail, ensuring distribution of mails and packages to the recipient.

  • Assist Procurement/Administrative Clerk in daily tasks, as required.

  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.

  • Performs other related duties as assigned.
