Description

We are seeking a highly organized and detail-oriented Administrative & Finance Controller to oversee daily financial operations, reporting, and administrative coordination across both Imek Desserts and Rocha Pizza.

This role is critical to ensuring accurate financial tracking, operational efficiency, and structured business growth. The ideal candidate is comfortable managing numbers, systems, and people—while maintaining strong control over cash flow and reporting.

Requirements / Qualifications

  • Experience with accounting or finance (preferred)

  • Strong knowledge of QuickBooks and/or POS systems (preferred)

  • Proficiency in Microsoft Excel or Google Sheets

  • Strong organizational and multitasking skills

  • High level of accuracy and attention to detail

  • Ability to manage confidential financial information

  • Strong communication and problem-solving skills

Responsibilities

Key Responsibilities

Financial Management

  • Maintain accurate financial records using QuickBooks Online

  • Track daily sales, expenses, and cash flow

  • Manage accounts receivable and payable

  • Reconcile bank accounts and POS transactions

  • Prepare weekly and monthly financial reports

POS & Order Control

  • Oversee all transactions through Square POS

  • Verify daily orders, payments, and “cash on pickup” balances

  • Ensure all orders are properly recorded and closed

  • Generate daily sales summaries and reports

Operations & Administration

  • Coordinate daily order flow and scheduling

  • Monitor inventory levels and stock usage

  • Support procurement of ingredients and supplies

  • Ensure smooth communication between kitchen and front-of-house

Reporting & Analysis

  • Produce operational and financial reports (weekly/monthly)

  • Track key performance indicators (sales, costs, margins)

  • Assist in budgeting, forecasting, and cost control

  • Identify inefficiencies and recommend improvements

Cash Handling & Controls

  • Monitor daily cash collections and deposits

  • Ensure proper reconciliation between physical cash and system records

  • Implement and enforce financial control procedures

Team Coordination

  • Support scheduling and tracking of staff productivity

  • Assist with payroll preparation and record keeping

  • Provide administrative support across both businesses
