Description

1. To achieve the Sales Operations objectives, and direct and monitor daily employee
activities to ensure that production meets or exceeds efficiency and BMS Quality
Standards.
2. To assist in ensuring that the procedures as set out in the Product Realization
Manual are being followed during the manufacture of all products.
3. To assist in the establishment and maintenance of efficient production processes.
4. To assist in the establishment and maintenance of safe work environment.
5. To carry out tests, controls and maintain quality records in an accurate and timely
manner in order to ensure that all products and quality records meet Company
Quality Standards.

Requirements

Qualifications / Experience
1. Three (3) A’ Levels / associate degree in management or related area, with at least four (4) years of related work experience, preferably in a manufacturing environment.
OR
2. Diploma in Management or Engineering, with at least three (3) years of related experience, preferably in a manufacturing environment.

Skills, Competencies and Requirements

3. Knowledge of MS Office applications.
4. Ability to utilize the Sage ERP System in all areas of the roles.
5. Experience in the Painting and Manufacturing Industry.

Responsibilities

Responsibilities:

1. Production
a) Supervise production workers, plan and assign work, implement policies and
procedures as directed.
b) Assist the Inventory and Production Manager in determining staffing
requirements, work procedures, and duty assignments.
c) Ensure that proper quality and efficient efforts are being performed for all
working jobs. Verify specifications throughout the production process
d) Train employees regarding production procedures in accordance with BMS
procedures and the Product Realization Manual. Recommend improvements in
production methods, equipment, operating procedures, and working conditions.
e) Ensure that production workers’ times are recorded. Maintain time keeping
records.
f) Assist with QC checks of paint batches and samples to the QC Lab.
g) Assist in the collaboration and monitoring of production and lab.
h) Ensure product quality standards are met and maintained on the production floor
in accordance with BMS Procedures and the Product Realization Manual, including
Raw Material checks for production batches.
i) Ensure proper working of equipment and inform
Inventory and Production Manager when repairs are
needed.
j) In conjunction with the Sales and Administration Manager coordinate daily the
transfer of finished goods from production to ensure safe workflow and efficiency.
k) Recommend procedures for facility and equipment maintenance or modification.
l) Assist employees when necessary.
m) Troubleshoot production problems and advise managers of job status or delays.
n) Suggest equipment purchases and production ideas.
o) Ensure all equipment is turned off after use, and that work areas are neat and
clean at the end of every shift.
p) Ensure good housekeeping of the laboratory and production environment.
q) Assist with monitoring, issuing and ordering of factory consumables including
Personal Protective Equipment, Pallet Wrap etc.
r) Establish and maintain high occupational safety and health standards.

2. Raw Materials
a) Assist in the management of raw material inventory levels, including stock
counts, to ensure production is not disrupted.
b) Co-ordinate and ensure that the proper procedure with respect to the receipt,
sampling and inspection of all incoming raw materials are carried out and that all
relevant data and test results are properly documented.
c) Ensure that all discrepancies relating to quantity, quality and description of
incoming raw materials are properly documented as per the requisite procedures
and that this is communicated to the Inventory and Production Manager and
Procurement Officer.
d) Ensure receipt, filing and easy retrieval system for Certificate of Analysis for
every incoming raw material.

3. Quality Control
a) Work with the production team to maximise human and automated resources to
ensure that output is of the highest quality according to company, industry, and
regulatory standards.
b) Assist with the regular review of quality objectives within the production
department to ensure that quality objectives are sound, beneficial, accurate, and
complete.
c) Supervise and ensure that all QC & QA functions are done in an efficient and
timely manner and to assist in these functions to ensure that there are no delays.
d) Report to the Inventory and Production Manager any instances where
specifications are not met or were difficult to achieve for necessary corrective or
disposition actions to be determined.
e) Direct troubleshooting activities to resolve production problems and maximise
product reliability. Refer to the Inventory and Production Manager as may be required.
f) Work with the production team to develop or maintain
the quality of existing products and ensure that reviews
and communications are beneficial, accurate, and timely.
g) Suggest methods to improve area operations, processes, efficiency and service
to both internal and external customers.
h) Support production in the development and use of quality assurance techniques.
i) Examine samples of raw materials before and during processing to ensure
finished products conform to prescribed quality standards.
j) Guide and monitor the colour matching process to ensure that quality is
maintained for all relevant products.
k) Ensure that results of tests are documented and that products meet all required
standards including those for packaging before leaving the factory.
l) Report to the Inventory and Production Manager any instances where
specifications are not met or were difficult to achieve.
m) Conduct quality control checks for samples received from subsidiary companies
and preparation and analysis of samples for special products.
n) Compile statistical information pertaining to production batches, e.g. yields and
material costs.
o) Carry out any tests, trials, and preparation of samples for special projects as
required by the Inventory and Production Manager.
p) Ensure that all test equipment is kept in good working order and calibrated in
accordance with Company standards.
q) Maintain records of maintenance and calibration history.
r) Ensure that a retained sample and final draw down when applicable is obtained
for each batch and clearly labelled and stored in the retained samples room.
Samples older than two years are to be discarded unless otherwise instructed by
the Inventory and Production Manager.
s) Ensure that the retained samples room is kept clean and that samples are stored
in an orderly manner.
t) Ensure that any changes suggested or implemented meet environmental and
health and safety standards.
u) Prepare and maintain production and testing reports and records ensuring that
they are current, accurate and complete.
v) Ensure good housekeeping of laboratory environment and proper maintenance
and calibration of all equipment used including the colour computer and its
required data base.
w) Ensure the orderly and secure storage of all reference literature within the
laboratory.

4. General
a) To manage the operations of the laboratory environment so it is kept clean,
professional and in a manner which reflects best practices as obtain in world class
paint laboratories.
b) Maintain a favourable working relationship with all co
workers to promote a cooperative and harmonious
working environment.
c) Responsible for suggesting methods to improve area of operations, processes,
efficiency, and service to both internal and external customers.
d) Adhere to all company policies including SHE, procedures and business ethics
codes. Where there are violations of the SHE policies these need to be
immediately reported to the SHE Coordinator.
e) Prepare and maintain production and testing reports and records ensuring that
they are current, accurate and complete.
f) Ensure the orderly and secure storage of all reference literature within the
laboratory.
g) Assist and advise and deputize for the Inventory and Production Manager as
appropriate in the Management of the required production processes and
activities to achieve the highest level of efficient and cost-effective production.

5. Reports
a) Batch Yield Report – must be completed with 1-3 working days after end of each
month.
b) Prepare weekly Production Reports to inform production volumes and issues.
c) Work with the production department to maximize resources to ensure that
output is of the highest quality according to company, industry and regulatory
standards.
d) Assist with the regular review of quality objectives within the production
department to ensure that quality objectives are sound, beneficial, accurate, and
complete.
e) Direct troubleshooting activities to resolve production problems and maximise
product reliability. Refer to the Vice President Technical Services and Innovation
as may be required.
f) Work with the production department to develop or maintain the quality of
existing products and ensure that reviews and communications are beneficial,
accurate, and timely.
g) Ensure that the maintenance and materials required, including spare parts and
accessories, for production equipment are kept up to date and that logs and
records of inventory are kept, working in assistance and collaboration with the
Maintenance Assistant.
h) Advice on possible upgrades and improvements to design of equipment and
process flow of production.

6. Maintenance
a) Perform preparatory work for maintenance activities, including gathering
equipment, materials and supplies, loading and unloading materials, and laying
out materials and equipment for projects.
b) Ensure repairs and preventative maintenance
procedures are done in a safe and orderly manner with the least disruption to operations of the Company.
c) Ensure Cleanup is done at the end of the day or when the job is completed, including picking up tools, spills, and debris, cleaning work areas and performing touch-up work as needed.
d) Operate, maintain, and repair equipment and tools.
e) Receive, store, and issue equipment, material, merchandise, tool, and supplies.
f) Deal with emergency or critical repairs in a timely manner by responding to call outs or overtime requests at short notice when necessary.
g) Ensure proper working of equipment and inform manager when repairs are needed.
h) Recommend procedures for facility and equipment maintenance or modification.
i) Carry out all tasks assigned in a professional manner and communicate tasks completed and problems encountered to the Production and Technical Manager for recording purposes and possible further action.
j) Suggest equipment purchases and production ideas.
k) Ensure all equipment is turned off after use, and that work areas are neat and
clean at the end of every shift.
l) Ensure that all work is carried out in full compliance with Company health and safety standards.

7. People Management
a) Assist with planning and conducting meetings with staff to ensure compliance
with established practices, assist with implementing new policies and assist to
apprise employees of any changes to current standards.
b) Observe and monitor direct reports’ performance and notify Inventory and
Production Manager to ensure adherence to the business unit’s policies and procedures.
c) Assist with leading and motivating staff to increase and maintain productivity and efficiency.
d) Help with leadership and management to all direct reports on a day to day basis with responsibility for all related processes.
e) Assist with carrying out performance appraisals as per company’s procedure in ensuring that reviews are ongoing, and results are used to help employees improve performance.
f) Assist the Inventory and Production Manager with cascading yearly MBOs to all Direct Reports clearly defining their strategic deliverables with Specific Measurable Attainable Relevant and Timely (SMART) principles and also meet the requirement of the Board of Directors.
