The Office Clerk supports daily office operations, ensuring smooth communication, organization, and administrative efficiency. This role assists HR and Operations with record keeping, visitor management, and general office tasks.
Working Hours:
Monday - Friday 8am - 5pm
Saturdays 8am - 3pm
Minimum of five (5) CXC subjects or equivalent, including English Language, Mathematics, and Office Administration or Business Studies.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic computer applications.
At least 2 years of experience in an office or administrative support role.
Knowledge of office management procedures and administrative best practices.
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication abilities.
Ability to handle confidential information with discretion and professionalism.
Detail-oriented with high accuracy in data entry and document handling.
Ability to work independently as well as collaboratively within a team.
Familiarity with filing systems, record keeping, and inventory management.
Professional appearance and strong customer service skills.
Reception & Front Desk:
Greeting visitors, answering phone calls, and assisting with general inquiries.
Data Entry:
Entering and updating staff records, security officer information, and other company data into computer systems accurately.
Document Management:
Organizing, filing, and retrieving physical and digital documents as needed.
Office Support:
Assisting with photocopying, scanning, mailing, and other clerical tasks to support daily operations.
Inventory Management:
Tracking and managing office supplies and uniform inventory, including issue logs and reorder needs.
HR & Operations Support:
Assisting with new hire documentation, maintaining updated records of employee files.
Cleanliness & Organization:
Ensuring the front desk and office areas remain clean, organized, and professional at all times.
Other Duties:
Carrying out any other tasks assigned by the Administrative Manager, HR Manager, or Managing Director.
