A Flegeance & Associates Group is seeking a highly organized, detail-oriented Commercial Insurance Administrative Assistant to support our fast-paced commercial lines operation.
In this role, you will assist with completing commercial insurance applications, organizing underwriting submissions, obtaining quotes, maintaining client and policy records, preparing insurance documents, processing premium finance agreements, and servicing commercial policies.
The ideal candidate understands that accuracy, complete documentation, confidentiality, and timely follow-up are essential to delivering exceptional service in commercial insurance.
WHAT WE’RE LOOKING FOR
• At least one year of experience in commercial insurance, insurance administration, underwriting support, policy servicing, or an agency operations role is strongly preferred.
• Working knowledge of commercial insurance applications, policy documents, certificates of insurance, endorsements, premium finance agreements, and common insurance terminology.
• Familiarity with commercial lines such as general liability, BOP, commercial property, commercial auto, trucking, workers’ compensation, professional liability, cyber, and umbrella or excess liability is preferred.
• Exceptional attention to detail and the ability to identify missing information, inconsistencies, and documentation errors.
• Ability to manage multiple time-sensitive submissions, service requests, and administrative responsibilities without sacrificing accuracy.
• Strong written communication, data-entry, document-formatting, organizational, and follow-through skills.
• Experience working with an agency management system, CRM platform, ACORD forms, carrier portals, Microsoft Office, or Google Workspace is preferred.
• Ability to communicate professionally with clients, carriers, underwriters, wholesalers, premium finance companies, and internal team members.
• A reliable, ethical, confidential, coachable, and solutions-oriented approach.
• Reliable internet access and the ability to work remotely during assigned U.S. business hours.
WHAT YOU’LL DO
• Gather exposure information and supporting documentation for general liability, business owners policies, commercial property, commercial auto, trucking, workers’ compensation, professional liability, cyber liability, umbrella and excess liability, and other commercial insurance products.
• Communicate with clients and internal team members to obtain business details, ownership information, payroll, gross sales, vehicle and driver schedules, location information, loss history, prior coverage details, and other underwriting requirements.
• Complete ACORD applications and carrier-specific applications accurately, including schedules, supplemental questionnaires, loss-history information, and underwriting narratives.
• Review applications and submissions for missing information, inconsistencies, signatures, dates, and required attachments before submitting them to carriers or wholesalers.
• Organize complete underwriting submissions and follow up with carriers, managing general agents, and wholesale brokers regarding outstanding requirements and quote status.
• Enter and maintain accurate client, policy, vehicle, driver, location, payroll, sales, classification, and coverage information in the agency management system, CRM, and carrier portals.
• Prepare professional quote comparisons, coverage summaries, client proposals, invoices, bind requests, certificates of insurance, evidence forms, and other authorized policy documents.
• Assist with processing endorsements, cancellations, reinstatements, renewals, audits, policy changes, and document requests.
• Prepare premium finance agreements and review payment schedules, deposit requirements, signatures, and financing documents for accuracy.
• Monitor open tasks, pending requirements, quote deadlines, policy effective dates, renewals, and client follow-up activities.
• Maintain complete and well-organized electronic client files, correspondence, application records, and policy documentation.
• Escalate discrepancies, coverage concerns, underwriting questions, and time-sensitive matters to the appropriate team member.
