Description

Air Services Limited is seeking a disciplined, confidential and highly dependable individual with a passion for Human Resources to join our team as a Human Resources Assistant. The successful candidate will be responsible for supporting key HR functions with professionalism, efficiency, and close attention to detail.

Recent graduates who wish to kick-start their career in Human Resources are also encouraged to apply. Applicants must possess strong CXC passes with Grade Ones or Grade Twos. We are looking for individuals with a positive attitude towards work, a willingness to learn, and the ability to get along and work well with others.

Requirements

MINIMUM QUALIFICATIONS REQUIRED

  • Five (5) subjects CXC inclusive of Grade Two or higher in English and Mathematics

  • Computer literacy in Microsoft Office Suite (Word, Excel, Outlook)

REQUIREMENTS

  • Must demonstrate a serious and professional attitude toward Human Resources.

  • Ability to maintain confidentiality and uphold company policies at all times.

  • Must be punctual, reliable, and have a strong sense of discipline.

  • Must be able to communicate clearly and professionally, both verbally and in writing.

  • Must be able to draft formal warning letters and other HR correspondence.

  • Must be organized, thorough, and consistently monitor work for quality and accuracy.

  • Must be open to constructive feedback and willing to improve performance.

  • Must be able to prepare and maintain employee files and HR databases.

  • Ensure that time and attendance is updated on a daily basis for Employees.

  • Handle filing and record-keeping with a high level of accuracy and structure.

  • Responsible for preparing expatriate applications and liaising with external agencies such as NIS, GRA, and Immigration.

  • Must be able to travel when required to handle HR tasks and external processes.

Responsibilities

  • Maintaining all HR files and ensuring that all files and filing cabinets are properly updated.

  •  Performing file audits to ensure that all required employee documentation is collected and maintained.

  •  Update and maintain the HR database (employee listing, birthday list etc.). 

  •  Prepare birthday cards for employees.

  •  Ordering and monitoring of stationary and cleaning materials.

  •  Issuing of cleaning materials to other department and update the stock inventory.

  •  Ensure that time and attendance is updated on a daily basis for Employees.

  •  Reconcile Kronos times with roster and any discrepancies to be immediately taken up with the appropriate authority on a weekly basis.

  •  Verify and complete unscheduled hours form submitted by employees.

  • Prepare the overtime and deduction sheet for monthly payroll.

  • Processing of GTM Claims

  • Processing of NIS claims.

  • Process addition of new employee to Life and Medical Insurance.

  • Processing of all leave applications.

  • Prepare leave approval letter for employees proceeding on annual leave and no-pay leave.

  • Process all paper work for expat employees: Work Permit, Employment VISA, NIS and GRA Compliance.

  • Filing to be done on a weekly basis.

  • Update stop list as necessary.

  • Any other related duties that may be assigned from time to time.
