Description

We are looking for a Procurement Clerk to join our dynamic team! The Procurement Clerk is responsible for providing administrative and operational support to the Procurement Department. This role supports the sourcing, purchasing, tracking, and documentation of materials, equipment, and services necessary for construction projects. The Procurement Clerk ensures that procurement records are accurate, purchases are properly documented, and materials are delivered on time in accordance with company procedures and project requirements.

Requirements

  • Minimum of a high school diploma or equivalent (certificate or diploma in Procurement, Supply Chain, Business Administration, or a related field is an asset).

  • Previous experience (2 years) as a Procurement Clerk or Purchasing Clerk is preferred.

  • Knowledge of procurement software and systems, such as SAP, Oracle, or Coupa.

  • Knowledge of procurement or supply chain management (e.g., CSCP, CPSM).

  • Knowledge of relevant regulations and compliance requirements related to procurement and contracting.

  • Strong attention to detail and ability to manage multiple tasks accurately.

  • Proficiency in Microsoft Office, particularly Excel and Word.

  • Good written and verbal communication skills.

  • Ability to work well under deadlines and in a team-oriented environment.

Responsibilities

Procurement & Purchasing Support

  • Assist with the preparation and processing of purchase requisitions, purchase orders, and requests for quotations (RFQs).

  • Communicate with approved suppliers and vendors to obtain pricing, availability, delivery schedules, and quotations.

  • Follow up with suppliers to ensure timely delivery of materials, equipment, and services.

  • Coordinate with project teams, site clerks, and store clerks to confirm material requirements and delivery locations.

  • Track the status of orders and update procurement logs and systems accordingly.


Documentation & Record Keeping

  • Maintain accurate and up-to-date procurement records, including purchase orders, delivery notes, invoices, quotations, and contracts.

  • Ensure all procurement documentation is properly filed and easily retrievable (physical and electronic).

  • Match purchase orders with delivery notes and supplier invoices for verification before submission for payment.

  • Assist in maintaining supplier databases and procurement registers.


Inventory & Cost Control Support

  • Work closely with site personnel to reconcile materials ordered versus materials received.

  • Assist in monitoring usage trends and identifying potential shortages or over-ordering.

  • Support cost-control efforts by ensuring purchases are made in accordance with approved budgets and company policies.

  • Report any discrepancies, delays, or issues related to procurement activities to the Procurement Manager.


Vendor & Internal Coordination

  • Maintain professional communication with suppliers, contractors, and internal departments.

  • Support vendor evaluations by assisting with performance records related to pricing, delivery, and quality.

  • Liaise with Accounts and Finance Departments to resolve invoice or payment-related queries.


Compliance & Policy Adherence

  • Ensure all procurement activities comply with BK International Inc.’s procurement policies and procedures.

  • Support audits by providing required procurement documentation and reports.

  • Maintain confidentiality and integrity in all procurement transactions.

  • Perform any other duties and responsibilities assigned by management.
