1. A primary role of the hospital procurement/bond clerk is to fill requisition orders from the various departments in the hospital. The clerk must read what is requested and then select the correct item and amount. 2. Supplies (medications and hospital supplies) must be arranged in the "First Expiry, First Out" system with guidance from your supervisor. 3. Responsible for creating and labeling the shelves to keep an organized system within the bonds. 4. Completing all relevant paperwork and keeping track of and maintaining inventory and supplies following the database system. 5. Responsible for inventory control within the Bonds: -
➢ Rotate stock and perform other inventory control duties as assigned.
➢ Requisition of stocks from the stationery stock room.
➢ Prepare local purchase orders following the procurement procedures of the hospital.
➢ Receiving items purchased, ensuring that quantities are checked against the purchase orders.
➢ Packing stocks received from suppliers.
➢ Ensure that the reorder level for stocks is always maintained.
6. Ensuring that the Bonds are kept clean, neat, and tidy always.
7. Follow established procedures in the handling of canteen stocks:
➢ All stocks must be received using the ‘Goods Received Note’ (GRN).
➢ All stocks must be issued using a requisition slip.
➢ Three quotations must be obtained for all purchases.
8. Obtaining quotations, which would sometimes require going to the supplier.
9. Purchasing and collecting items, which would sometimes require going to the supplier.
10. No garbage must be left in the bond, corridors, or emergency ramp at the end of the day.
11. Disbursement of stocks must be done on time and no later than 24 hours of receiving the requisition and delivered to the respective department.
12. Always ensure that tasks are completed on time.
13. To participate in ongoing training and development.
14. Any other duties that may be assigned from time to time.
At least five (5) Subjects CXC, General Proficiency inclusive of Mathematics, English A and Accounts.
Experience in a similar capacity for at least two years will be an asset.
