The Admin Coordinator is essential for maintaining the efficient flow of orders from placement to delivery. This role requires strong collaboration with the factory, clothiers, Client Services, and various internal and external stakeholders, including warehouse personnel, suppliers, freight companies, vendors, and contractors. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills, capable of managing multiple tasks.
Experience: 2+ years in order processing, supply chain management, or operations support roles preferred.
Technical Proficiency: Experience with ERP systems, CRM software, and Microsoft Office Suite (especially SharePoint and Excel).
Attention to Detail: Ability to maintain accurate records and process orders with precision.
Problem-Solving: Strong analytical skills to address order-related issues and delivery problems effectively.
Organizational Skills: Proficiency in managing multiple tasks and prioritizing workloads.
Interpersonal Skills: Collaborative attitude with the ability to work well in team settings and communicate factory feedback clearly.
Time Management: Efficient in expediting rush orders and meeting tight deadlines.
Adaptability: Flexibility to handle special projects and shifting priorities as assigned.
Technical Aptitude: Comfort with generating shipping labels, managing inventory trackers, and uploading content to websites.
Customer Focus: Commitment to providing timely updates and addressing concerns for Client Services and clothiers.
Order Processing and Management:
· Manage the Daily Recap inbox, including processing factory orders, remakes, special orders, and part orders.
· Expedite rush orders and ensure effective communication with the factory for timely processing.
· Process clothier allowance orders and discounts, securing necessary approvals.
· Provide timely order status updates, shipout dates, and ETAs to Client Services and clothiers.
· Communicate factory feedback to clothiers regarding measurement, design, and fabric availability.
· Coordinate with couriers (DHL, FedEx, moving companies, etc.) to resolve delivery issues and book pickups and shipments.
· Document and track remakes and special orders, maintaining accurate records.
· Address order-related issues with the factory, including holds, cancellations, and discrepancies.
· Upload shipping lists to SharePoint and update deal stages in Active Campaign.
Supplies Management:
· Process supply requests from showrooms.
· Coordinate online accessory orders for shipping.
· Generate shipping labels and schedule pickups.
Fabric Inventory & Management:
· Add new fabrics to the website, ensuring accurate and complete fabric details (names, descriptions, colors, patterns, sources, composition).
· Manage out-of-stock fabrics and liners, updating both the website and inventory trackers.
General Operations Support:
· Participate in operations team meetings and calls with stakeholders.
· Complete special projects as assigned by the Operations Manager or Company Director.
