Eve Anderson Recruitment Guyana Inc. is seeking a dedicated and detail-oriented Payroll & Accounts Officer to join our Accounts team. The successful candidate will be responsible for managing accounting and bookkeeping tasks, processing payments and invoices, and ensuring accurate payroll processing. This role requires a strong understanding of basic accounting principles, excellent communication skills, and the ability to liaise with clients regarding overdue payments and invoice matching.
• Minimum of five O' levels and accounting certification.
• Proficient in MS Office.
• Minimum of two years' relevant accounting experience, including one year in payroll processing.
• Adept computer skills and proficiency using QuickBooks and Microsoft Excel.
• Strong verbal and written communication skills.
• Knowledge of labor and tax laws affecting staff in jurisdictions where Eve and clients operate.
• Team player with solid data entry skills and advanced mathematical and audit abilities.
• Basic HSE knowledge.
• Ability to meet and manage urgent deadlines.
• Customer service oriented.
Accounting:
• Maintain professional relations with clients, banking institutions, regulatory bodies, and internal departments.
• Ensure accurate recording of data for reference and audit of payments.
• Perform bank reconciliations for Eve Scotiabank GYD local account.
• Receive and deposit cheque payments from clients, updating internal records.
• Follow up on accounts receivable/credit and collections weekly.
• Record invoice payments received via cheque or bank transfer.
• Prepare accounts payable to suppliers for review.
• Prepare monthly statutory payments to governmental bodies.
Payroll:
• Confirm changes for temporary and clients' payrolls.
• Collect employee timesheets/data for various payrolls.
• Enter data into payroll software, generate new payroll periods, set up new employees, and process payroll data.
• Calculate employee work hours, benefits, and deductions.
• Prepare employee compensation checks using payroll software.
• Ensure compliance with company and local tax regulations.
• Schedule electronic payments for review and approval.
• Generate and distribute e-pay slips to employees, prepare payroll totals, and submit statutory payments.
• Respond to client and employee questions about compensation, taxes, benefits, and deductions.
Invoicing:
• Prepare pro forma invoices (where applicable).
• Generate invoice numbers in the invoicing register.
• Prepare invoices for all services performed, including notes on leave (when applicable).
• Submit invoices to the manager for review.
• Enter invoices into accounting software and send them to clients.
• Save all invoices on the company server.
• Reconcile payroll records and confirm accurate tax withholding and remittance.
• Prepare audit reports as requested.
Audit:
• Verify employees included on payroll and analyze payroll data.
• Verify client requirements and correct time categories and approvals.
• Reconcile all payroll records.
