Event & Operations Coordinator

We are seeking a highly organized and detail-oriented Event & Operations Coordinator to join our team. This role is pivotal in ensuring the seamless execution of small-scale events and assisting with various operational and administrative duties. The ideal candidate will be proactive, adaptable, and skilled in both event coordination and supporting business operations.

• Prior experience in hospitality, event coordination, or as an administrative assistant is an asset but not required.

• Strong organizational and multitasking skills, with attention to detail.

• Excellent communication and interpersonal abilities.

• Basic culinary knowledge or experience with food presentation is a bonus.

• Ability to work independently and make informed decisions.

Event Coordination (Seasonal):

• Act as the primary point of contact for clients hosting small gatherings or events.

• Coordinate with internal teams to arrange the purchase of food items and supplies.

• Supervise events to ensure food is plated and displayed professionally and according to client expectations.

• Address any on-site issues to maintain a high standard of service and presentation.

Operational Support:

• Assist in daily operational tasks, including scheduling, vendor coordination, and inventory management.

• Collaborate with the accounts team to follow up on leads, prepare quotations, and ensure timely payments.

• Support tender preparation by gathering necessary documents and meeting submission deadlines.

• Monitor payments and liaise with clients for outstanding balances.

Administrative Assistance:

• Provide personal assistance to the management, handling tasks such as scheduling meetings and managing correspondence.

• Assist in streamlining processes and maintaining clear communication across teams.

• Take the initiative to identify areas for improvement in operations and event workflows.
