Description

To provide support to the Human Resources Director/Officer by assisting with the administration of the day-to-day operations of the human resources functions and duties.

Working hours: 8:00 am to 4:30 pm Mondays to Thursdays and 8:00 am to 3:30 pm on Fridays.

This position is a temporary for a minimum of three (3) months.

Requirements

A minimum of a Diploma in Public Management, Business Management or a related field from a recognized university with at least one (1) year's experience in a similar capacity OR

  • Five (5) subjects CSEC with grades 1-3, inclusive of Mathematics and English Language with at least three (3) years’ relevant working experience.

Competencies:

  • Must be computer literate and proficient in using Microsoft Windows and Microsoft Office in a networked environment. 

  • Communication, influence and motivation

  • He/she must be able to maintain good relationships with staff of the EPA, and members of the Public.

  • Good interpersonal skills are necessary.

  • Confidentiality is also required.

Responsibilities

The Human Resources Assistant has full-time responsibility for assisting with the day-to-day operations and the HR strategy of the EPA, and shall specifically be responsible for; lending support to the Human Resources Director in the following areas:

  • 1.      Monitoring of vacant posts and ensuring adherence to established policies and procedures when seeking to fill these posts.

  • 2.      Preparation of vacancy announcements, reviewing, short-listing applications, and scheduling interviews for selection of candidate/s.

  • 3.      Providing induction, orientation and briefing new staff members.

  • 4.      Assisting in the preparation of internal memorandum, disciplinary letters, external correspondences, and cabinet memos.

  • 5.      Taking notes and preparation of minutes as needed for HR related matters.

  • 6.      Assisting in the administration and management of staff benefits, including employee leave applications, NIS, and GTM health matters.

  • 7.      Providing support in the performance management systems of the Agency.

  • 8.      Maintaining a proper filing system for staff records.

  • 9.      Ensuring that old and obsolete files are properly archived or destroyed.

  • 10.   Making and confirming daily commitments and arranging meetings for the Human Resources Officer/Director.

  • 11.   Supporting strategic initiatives and activities of the department.

  • 12.   Assist in the preparation of the HR Unit monthly, quarterly, and annual reports.

  • 13.   Assist with the coordination of activities under national events budget line.

  • 13.   Any other related duties that may be assigned by the Human Resources Director or any other duly authorized individual from time to time.
