Description

The Immigration Clerk is responsible for providing administrative and clerical support in the preparation, processing, and maintenance of immigration-related applications and documentation. The position involves reviewing documents for completeness and accuracy, maintaining confidential records, communicating with clients and relevant authorities, and ensuring that immigration matters are processed efficiently and in accordance with applicable procedures and requirements in Guyana.

Requirements

Desired Qualifications and Experience

  • Diploma or bachelor's degree in business administration, Public Administration, Office Administration, Law, International Relations, or a related field is preferred.

  • Previous experience in an administrative, clerical, customer service, or government-related position is an asset.

  • Experience handling official documents, applications, records, and correspondence is preferred.

  • Experience in immigration, visa processing, travel administration, or a related field would be an advantage.

  • Basic knowledge of Guyana's immigration procedures, requirements, and relevant legislation is desirable.

  • Familiarity with passport, visa, work permit, residence, entry/exit, and other immigration-related documentation is an asset.

  • Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.

  • Experience with databases, electronic records management, or government information systems is an advantage.

  • Ability to accurately review and verify personal information and supporting documentation.

  • Previous experience dealing with members of the public, government agencies, or international clients is preferred.

Responsibilities

  • Receive, review, and process immigration-related applications and supporting documents.

  • Assist clients with completing immigration forms and provide information on required supporting documentation and procedures.

  • Verify that applications are complete, accurate, and properly supported before submission.

  • Prepare, organize, and submit immigration applications and related documents to the appropriate authorities.

  • Maintain accurate and up-to-date records of applications, permits, visas, passports, correspondence, and other immigration documents.

  • Monitor the status of applications and follow up with relevant government departments and authorities as required.

  • Keep clients informed of application progress, outstanding documents, appointments, and other relevant requirements.

  • Prepare letters, forms, checklists, reports, correspondence, and other immigration-related documents.

  • Coordinate appointments, interviews, document submissions, and other immigration-related activities.

  • Assist with applications relating to visas, work permits, extensions of stay, residence, and other immigration matters, as applicable.

  • Liaise professionally with government agencies, employers, employees, clients, attorneys, travel agencies, and other relevant stakeholders.

  • Ensure all personal and immigration information is handled securely and kept strictly confidential.

  • Maintain an organized filing system for physical and electronic immigration records.

  • Enter and update client and application information accurately in databases, spreadsheets, and other systems.

  • Track application deadlines, permit expiry dates, appointments, and renewal requirements.

  • Assist with preparing reminders and notifications regarding upcoming expirations and required actions.

  • Review documents for discrepancies, missing information, or inconsistencies and escalate issues to the appropriate supervisor.

  • Maintain up-to-date knowledge of applicable immigration procedures, requirements, forms, and changes in regulations.

  • Ensure all work is performed in accordance with company policies, established procedures, and applicable laws and regulations.

  • Provide professional, courteous, and timely customer service to clients throughout the immigration process.

  • Prepare regular status reports and updates for management as required.

  • Perform general administrative and clerical duties related to the immigration function.

  • Perform any other duties reasonably assigned by the Immigration Manager, Operations Manager, or designated supervisor.
