Procurement & Payables Officer (Timehri)

The Procurement & Payables Officer is responsible for managing the end-to-end procurement process, ensuring timely acquisition of goods and services, and overseeing all accounts payable functions. This role ensures vendor compliance, accurate financial recording, and cost-effective purchasing aligned with company policies.

• Diploma or Degree in Accounting, Finance, Business Management, Procurement, or Supply Chain Management.Minimum 2–3 years’ experience in procurement, purchasing, or accounts payable.

• Experience working with vendors, negotiating prices, and evaluating quotations.

• Experience with accounting or ERP software (e.g., QuickBooks, Sage, SAP, Oracle) is preferred.

• Familiarity with purchase order systems and invoice matching.

Procurement of spare parts both locally and internationally, oils, lubricants, fuel, and other materials required by the company.

Handle and process materials requests for projects as submitted by the Project Manager/Stores Department or other departments.

Develop and maintain a vendor list for all procurement purchases, ensuring reliability and cost-effectiveness.

Liaise with the Stores Department daily to identify required items and ensure timely procurement.

Provide bimonthly reports on fuel consumption and the allocation of fuel across departments and projects.

Ensure accurate and detailed reporting on procurement activities, stock levels, and expenditures.

Work closely with the Finance Officer to assist in creating the monthly budget for the Payables Department.

Assist in preparing attendance records and payroll for employees and contractors.

Update payroll software with necessary information and ensure employee personal files are maintained and up-to-date.
